About Sunbase, Regelneef, RegelConnect and this Privacy Statement
SunBase Software B.V. (hereinafter referred to as: “SunBase”) is registered and is having its office at the address ’s-Gravelandseweg 258, (3125 BK) in Schiedam and is registered with the Chamber of Commerce under registration id/number 24287725.
SunBase is the supplier of the “Regelneef” software package and the “RegelConnect” application. In this privacy statement you can read the most important information regarding the processing of personal data during the use of our provision of service, including the RegelConnect application and the use of our website. By means of downloading the RegelConnect application you acknowledge that you accept the practices and policies outlined in this privacy statement.
In addition, we have concluded Data Processing Agreements (DPA’s) with the employment agencies that use Regelneef, which include arrangements for the protection of your personal data. We recommend that you carefully read the information below.
SunBase respects the privacy of its clients, the employees of its clients and all other persons whose personal data it processes, such as website visitors and the users of our RegelConnect App. We therefore aim to handle this personal data with due care in conformity with the applicable privacy rules and in particular the General Data Protection Regulation (GDPR).
Which personal data will be processed, for which purposes will this be used and with whom do we share this?
This privacy statement applies to all personal data that will be collected by SunBase for the services that we offer, which is necessary for using our website and which you have personally provided to us, for example through our RegelConnect App. With personal data we mean personal data within the meaning of article 4, subclause 1, of the GDPR.
When you decide to obtain our services, such as by using our RegelConnect App, we require data for the purpose of communication, and for the execution of our provision of service. A description is given below of which personal data we process, for which purposes this is used and on which legal basis this processing takes place.
We process the following data during the use of our provision of service:
- 1. To generate an account for RegelConnect:
- Name
- Email address
- Other (optional) data that you can provide through RegelConnect:
- Contact details (name and address details and telephone number);
- Other personal data that you provide to us within our application.
- 2. When using our website:
- Data that Google Analytics collects regarding your surfing behaviour, internet browser, type of device, etcetera;
- Other personal data that you actively provide to us through messages or forms on our website.
We have no intention of processing special personal data or data of children under 16 years of age, therefore we request that you do not send us this personal data.
Purposes:
SunBase uses your data for the following purposes:
- for the execution of our provision of service;
- for the improvement of our website and provision of service;
- for the fulfilment of our statutory obligations, for example because we have a processing obligation for tax purposes;
- to approach you for statistical research or a client satisfaction survey;
- to offer the option to subscribe to our newsletter and to be able to send this to you;
- to assist you if you have questions or complaints regarding our services.
SunBase hereby uses your personal data exclusively and solely for these necessary specific purposes and on the basis of the grounds referred to hereinafter, as referred to in article 6 of the GDPR:
- compliance with a legal obligation;
- given consent;
- legitimate interest.
There is no automated decision-making. We cannot provide the service to you if you do not wish to provide us with the personal data necessary on the basis of contractual and/or statutory purposes.
How is your data protected?
SunBase understands that keeping your personal data safe is important. The data that is stored in our database is protected by means of using accepted and up-to-date electronic security technologies, in accordance with the applicable standards for data protection. In addition, our website is secured by means of SSL certificates. You can recognise this by the green lock icon to the left of the URL in your browser’s address bar and by the letters “HTTPS”. All data and documents that you send and receive through our website are encrypted thereby and cannot be read by third parties. The exchange of data and documents between our websites, within the application and our processing partners, also takes place by means of secured connections. In addition, we have concluded Data Processing Agreements (DPA) with our processing partners, such as employment agencies, which include arrangements for personal data protection. If you have the impression that your data is not properly secured or there are indications of misuse, please contact us by means of the contact details found at the bottom of the page.
How long is your data kept for?
SunBase keeps the personal data for no longer than necessary for the purposes for which your data is processed. We will delete this data when we no longer require your personal data in the context of our provision of service. Only if and insofar as we must save personal data for longer, such as for the fulfilment of our statutory obligations and/or for the Tax and Customs Administration, a retention period of 7 years applies.
The rights accruing to you
If your personal data is processed by us, you have the right to::
- access the personal data;
- rectification of the personal data;
- erasure of the personal data (‘right to be forgotten’);
- correct the personal data;
- withdraw your permission for the processing of personal data;
- let the processing of your personal data be restricted;
- object to the processing of your personal data;
- rely on the right to data portability.

SunBase will inform you as soon as possible, but no later than within 4 weeks, about the follow-up given to the request. In order to be certain that we provide the personal data concerned on the basis of your request to the correct person, we can request that you submit for verification a copy of a valid passport, driving licence, or identity document, with a passport photo and BSN number blackened out. We will only consider requests that relate to your own personal data.
Sharing data with third parties
Without permission SunBase will not lend, lease, sell or disclose in another manner your personal data, unless there is any statutory provision, court decision, regulation, or other rule that obliges us to do so.
SunBase will also only share your personal data with third parties insofar as necessary for the implementation of our website and/or provision of service with due regard to the purposes set out above. For example, the employment agency with whom you are in contact through our application and with whom you share your personal data. This is also the case during the engagement of a third party we engage for the performance of the agreement and the administrator of the website, to ensure that the website functions properly from a technical point of view.
Transfer to non-EU countries
There is no transfer of data to countries outside the European Economic Area (EER).

A cookie is a small text file that is placed on the hard drive of your computer, tablet or smartphone during a visit to our website.
