Accommodation planboard

The accommodation planboard shows daily occupancy for each accommodation over a three-week period. Each date cell shows how many employees are scheduled there. Selection

Accommodations with day columns


The upper part of the screen has accommodation details on the left and day columns on the right. Choose the accommodation columns with the list definition button at the top right. The more accommodation columns you display, the further the day columns move to the right.

 

An indicator appears in the top-right corner of a date cell if the number of people scheduled for that day exceeds the accommodation's capacity. It has two possible colours:

Orange: the scheduled number exceeds the capacity but not the maximum capacity

Red: the scheduled number exceeds the maximum capacity

 

Click an employee in the lower list to mark all date cells containing that employee with a grey square. This shows how the person is scheduled across different accommodations.

Scheduled employees


The lower list shows employees for the selected day cell and accommodation. If the cell shows '4' in the placed-employees view, selecting it displays four rows in this list.

Choose the employee columns with the list definition button at the bottom left. Columns can include the job placement and car use on the selected day in the planboard (unlike the regular accommodation planlist, which shows other planning details as of the system date).

 

This list offers the same options for creating, editing and deleting accommodation placements as the regular planlist. The Placements button works in the same way as in the accommodation planlist. This also applies to Employee, Accommodation, Documents and SMS.

Planning by dragging


You can also change accommodation placements by dragging one or more employees from the lower list into day columns on the planboard.

Set an end date by dragging

For example, if the current occupants must leave accommodation A on date X, enter that end date for their accommodation placements as follows:

Click today's cell for accommodation A to show its current employees in the lower list.

Select the employees and drag them to the column heading for date X.

The Edit accommodation placements screen opens with end date X filled in. Click OK to save; the numbers on the planboard are then updated.

Create an accommodation placement by dragging

If employees move from accommodation A to accommodation B on date X:

Click the cell for accommodation A on the last day they stay in accommodation A to display those employees in the lower list.

Select the employees and drag them to accommodation B's row, into the cell for date X.

Regelneef asks whether to set an end date for the existing accommodation placements. Click Yes.

The New accommodation placements screen opens with start date X filled in. Click OK to save; the numbers on the planboard are then updated.
