Planlist absences

The absence planlist provides an overview of employees' absences during a specified period. By default, it shows the current day. From the list, you can add, edit or delete absences, including for several employees at once. Selection


Period

The current day is entered by default. Enter a start and end date, or use the period selector to choose a period from the calendar or move to the previous or next period.

An absence is shown if it falls wholly or partly within the selected period. An absence that started earlier and has no end date may therefore also appear in the list.

Other planning

The planlist can also show details of the employee's placement, car and accommodation. These details are determined for the date in Other planning. By default, this is the current day. If you request absences for a different or longer period, you can adjust this date as required.

Affiliates

Select one or more affiliates. The selection is based on the employee's affiliate. Only affiliates for which you have permission to view or edit employee data are available.

Status — Only active

Select Only active to show absences only for employees who have a placement on the date in Other planning. This is also the date used to determine the Status column. If this option is not selected, both active and passive employees are shown, provided their absences meet the other selection criteria.

 

 

Planlist


The list shows the absences found, with one row per absence. An employee may therefore appear more than once in the list.

 

The available columns include:

•Absence details: start date, end date, absence type and reason.

•The various employee fields.

•The placement on the date in Other planning, including the client name, location and employee status.

•Car and accommodation use on the date in Other planning.

Double-clicking

Double-clicking starts editing the marked absence(s). In Settings — Planlist, you can configure double-clicking for absences to open the employee's detail screen instead.

 

 

Actions


Absences

Mark the required rows and click Absences. The menu contains:

•Edit marked absence(s)
Opens the edit screen with the selected absences. When several absences are selected, only the fields you change are updated for all included rows. Fields with different existing values are shown with a different background colour.

•New absence for marked employee(s)
Opens the entry screen with the employees from the selected rows. One new absence is entered for each employee. Enter the required period, absence type and, if applicable, the reason, then save with OK.

•Delete marked absences
Permanently deletes the selected absences after confirmation.

Employee

Opens the detail screen of the employee in the current row.

Excel list

Opens the available Excel lists for absences, as configured using list definitions. You can export all rows in the displayed list or only the marked rows. The chosen Excel list determines the columns and sort order.

Documents

First choose the document type:

•Absence documents
Creates documents using the data from the marked absences and their employees.

•Employee documents
Creates documents using the general details of the employees in the marked rows.

 
The screen for starting documents then opens, where you choose the required layout.

SMS

Opens the SMS dialogue with the employees from the marked rows as recipients. This action is available with an SMS licence and the corresponding user permissions.

E-mail

Opens a new message in your e-mail program with the e-mail addresses of the employees from the marked rows. If there are several recipients, the addresses are placed in BCC. Missing e-mail addresses are reported; if all addresses are missing, no message is opened.
