In List of employees, you can search for employees and open their records. For example, you can search by name, discipline, availability or affiliate. From the results list, you can edit employees, make placements, create documents or contact them.
Selection
Quickly find an employee
•Enter a name or part of a name in Surname or First name. You can also search for part of the Employee nr.
•Check the selected affiliates and the checkboxes under Do not show. Then click Search.
•Double-click the required employee to open the record.
The search fields are on Selection 1 and Selection 2. Conditions entered on both tabs work together. An asterisk after a tab name indicates that search conditions have been entered there, even while you are viewing the other tab.
Without search conditions, the list remains empty. Use Select all to retrieve a complete overview. Preset search conditions may cause employees to be shown when the screen opens.
Affiliates and Do not show
Select one or more affiliates to the right of the selection tabs. This selection is based on the employee's affiliate. Only affiliates for which you have permission to view or edit employees are shown.
Under Do not show, you can exclude Subcontracted, Hidden, Absents and Blocked employees. For example, to find a hidden employee, clear Hidden. Click Search after changing the selection.
Select all
Select all retrieves the employee list directly, without the normal search conditions. The search fields are temporarily disabled. The selected affiliates and the checkboxes under Do not show still apply. Clear Select all to return to a targeted search.
Combine search results
Use this to build one list of employees from different searches. First mark the employees you want to keep, select Combine search results and run another search. The marked employees are added to the new results, even if they do not match the new search conditions. For each subsequent search, mark all employees you want to include again.
Selection 1
Name and personal details
Use Surname, First name and Employee nr to find a known employee. Use Age min/max, Birth date and Gender to narrow the selection further. For age, you can enter just a minimum or just a maximum.
Drivers licence and Own transport
Select the required driving licence categories. If you select several categories, the employee must have all of them. For Own transport, choose Yes or No, or leave the field empty if it is not a search condition.
Choices from tables
Use the button with three dots to select values for fields such as Properties, Disciplines, Nationalities, Education, Certificates, Subcontractors, Levels and Account managers. You can select several values. Use the cross to clear the selection in that field.
Several selected values within one of these fields normally mean that the employee matches at least one of them. Different completed fields are applied together. Subcontractors checks both the subcontractor in the employee record and subcontractors on placements.
Comb for Disciplines, Education and Certificates
Select Comb (combine) if the employee must match all selected values in that field. Without Comb, any one of the selected values is sufficient. For example, selecting two disciplines with Comb finds only employees who have both disciplines registered.
The certificate selection searches registered certificates. It does not check their validity dates.
Languages
Select the required languages and specify for each language whether the employee must speak and/or write it. The employee must meet all selected language requirements.
Yet unplanned on
Enter a date to find employees who are not yet in a placement's day planning on that day. If needed, combine this with Availables and the exclusion of Absents. The > button copies the date to Show planning of and sets the time to 08:00.
Availables
When selecting Availables, choose a day or period. Regelneef checks the employee's registered availability:
•With calendar registration, at least one available day must be registered within the selected period.
•With availability on fixed weekdays, the weekday of the start date is used.
An employee found is therefore not automatically available or still unplanned on every day of the period. For a particular working day, select a one-day period and enter the same date in Yet unplanned on.
Show planning of
This defaults to the current date and time. It determines the point in time for which the list shows the placement, car use and accommodation. Date-dependent selections, such as Active, In car, In accom and Absents, also use this date. Change the date and click Search to view another day.
Groups and checks
•Active / Not active: employees who are or are not in a placement's day planning on the day specified in Show planning of.
•In car / Not in car and In accom / Not in accom: employees with or without the relevant planning on that day.
•Applicants, Subcontracted, Hidden and Blocked: select by the corresponding details in the employee record. Calendarreg. selects employees whose availability is registered through a calendar.
•Absents: employees with an absence on the selected day. Absence types configured not to filter are not counted.
•ID checked / ID not checked and Regist. checked / Regist. not checked: select by the registered check of the identity document or registration.
These choices are also combined with the other search conditions. Make sure you do not also exclude a required group under Do not show.
Selection 2
Contact and application dates
For Latest contact and Last active, choose before or after a date. Applic. date min/max limits the application date; you can enter one or both limits.
Client name and contact details
Client name searches both placement clients and company names under Work experience. This also lets you find employees who previously worked for a company. Telephone number, E-mail and Account nr search the entered text; part of the value is sufficient.
Postal code, City and Country
Enter the four digits in Postal code and select a Range (km) to search within an area. The postal address is determined for the date in Show planning of.
City searches the normal address, alternative address and current accommodation. Country searches the country of the normal or alternative address.
Availability, Application reason and Paper file location
These are choices from the relevant tables. Here, Availability selects by the value registered in the employee record. Use Availables on Selection 1 to search for available days.
Employee list
The list contains employees who match your selection. You can adapt the columns to your work, for example with employee number, name, affiliate, contact details, disciplines, properties, client name or residence address.
Configure the column layout through list definitions. The selected list definition determines which details are visible.
See screen lists for sorting, filtering, searching within the list and marking multiple rows.
Open an employee or mark several
Double-click a row or choose Edit to open the employee. If you only have read permission, the button is called View. Double-clicking Yes in the Calendar column opens the availability calendar directly.
Mark several rows before starting a group action, such as Multi edit, Documents or E-mail. If no rows are marked separately, these actions use the current row. Check the marked rows before continuing.
Photo and identification
When you move to another row, the employee's photo is shown if available. A red warning symbol next to the name indicates that the employee is blocked. The status column uses the configured colours for active and passive employees; a level column can use the colour from the levels table.
Actions
The buttons and menu options available depend on your permissions and licences. Changes also depend on your permissions for the employee's affiliate.
Edit and New
Edit opens the current employee's record. New opens a new employee record. Enter the details there and save with OK.
Multi edit
Opens the screen for changing details for all marked employees at once, such as the affiliate, account manager or properties. The fields to be changed are shown in red. Check these fields and the selected employees; when you click OK, Regelneef asks for confirmation before applying the changes.
The arrow next to Multi edit also offers these actions:
•New action for marked employee(s): opens action entry for the marked employees.
•Enter a contact memo at employee(s): opens contact memo entry for the marked employees.
Delete
Deletes the marked employees permanently. Check the selection carefully. Regelneef asks for confirmation twice, then shows the result for each employee.
Place
Opens a menu for the following actions:
•Place employee(s) at client: opens placement entry with the marked employees.
•Place employee(s) in car: for one employee, choose driver or passenger. For several marked employees, passenger entry opens.
•Place employee(s) in accommodation: opens accommodation placement entry with the marked employees.
•Assign goods to employee(s): opens goods assignment for the employee on the current row.
•Make employee(s) absent: opens absence entry for the marked employees.
Each menu option opens the corresponding entry screen. Enter the remaining details there and check any messages before saving.
Excel list
Choose an Excel list and specify whether to export all employees found or only the marked employees. A filter applied in the list is taken into account when exporting all rows. The selected Excel list determines the columns and sorting.
Documents and CV
Documents opens the screen for starting documents with the marked employees' details. Choose the required layout there.
CV opens the CV screen for the employee on the current row.
Export
Opens the screen for exporting employees, with the marked employees already selected. Choose the required export format and corresponding settings there.
SMS and E-mail
SMS opens the SMS dialogue for the marked employees. E-mail opens a new message in your e-mail program with their e-mail addresses. If there are several recipients, the addresses are placed in BCC. Missing e-mail addresses are reported.
Archive
The yellow folder button opens the archive for the marked employee(s).
