Cloud database

Regelneef is now available as a cloud version, following two years of development. This is an important step that enables future SunBase mobile apps to access your database and supports the move from in-house servers to cloud services.
This article explains what it involves and how to use it.
New startup and login system
Login, updates and startup have been substantially revised internally.
•The startup window is now also the login window.
•After an update and restart, any required database update runs automatically.
•Regelneef no longer locks its program files while running. This prevents update problems in terminal server environments where a user remaining logged in could previously block the update.
Improved password system
The password system has been modernised, with these visible changes:
•Passwords are now case-sensitive.
A user who no longer remembers the original capitalisation may be unable to log in. A supervisor can resolve this by assigning a new password.
•Stricter requirements for new passwords:
- At least 8 characters
- At least one digit
- At least one letter
•Long passwords are now supported; the previous limit was 15 characters.
General data export permissions
Three new permissions can prevent exporting, copying or writing Regelneef data to Excel. Configure them per user level; they apply throughout the program:
•General → Excel data output
•General → Export options
•General → Copy records to clipboard
Scan distributor with built-in PDF viewer
The scan distributor has a new built-in PDF viewer, removing its dependency on an installed viewer that could cause instability on some systems.
Other changes
Daily availability for new employees
New employees are now automatically available Monday to Friday unless Settings specifies calendar availability by default.
Copy evaluations
In the evaluation overview, you can copy all completed evaluation columns from one row to others. This speeds up similar evaluations, which you can still adjust afterwards.
Use Copy to store the evaluation, select the destination row and press Ctrl+V. The evaluation date is set to today.
Faster client overview startup
Loading every client when opening the client overview can slow startup without much benefit for large databases. Enable the corresponding option under Maintenance → Settings → Clients to avoid this.
Clients
•The G-account percentage now supports decimals.
•Client contact exports to Excel now include memo text.
Intermediary file storage
The file archive is now available for intermediaries. Set its base path under Maintenance → Settings → File archive to enable it.
Self-employed weeksheets to Freepack
Self-employed weeksheets have a zero hourly wage. For overtime and surcharge hours, Freepack export now uses the rate percentage instead of the wage percentage in this situation.
ABU 26 weeks worked alert
A new alert flags 26 weeks worked in ABU phase A. It looks four weeks ahead by default; this 28-day period is configurable.
SMS checkboxes through employee multi-edit
Multi-edit can now enable SMS for Dutch 06 mobile numbers across a group of employees, or clear all SMS checkboxes for the group.
Subcontractors: new fields
•Chamber of Commerce registration copy (yes/no)
•Chamber of Commerce extract issue date
•VAT evidence (yes/no)
•Insured (yes/no)
These fields are also available as employee planlist columns.
Financial documents
•An incorrect calculation of overtime and surcharge-hour revenue has been corrected.
•A merge field for the client's payment term has been added.
Excel export from lists in XLSX format
The small Excel button below each list now generates .xlsx files.
NBBU contract phase changes
Several NBBU collective labour agreement provisions changed on 1 July 2016 following the Work and Security Act. See the article on the website. Regelneef was updated from version 7.8.5, with these installation steps:
1.Phase 2A is renamed phase 2.
2.Employees in phase 2B without an end date receive:
– A phase 2B end date of 30 June 2016
– A phase 3/1 start date of 1 July 2016
3.For all employees with a phase 2B end date, that date is copied to phase 2, formerly 2A.
4.Phase 2B is removed entirely.
A special employee overview selection finds employees automatically moved to phase 3/1 in step 2.
Conversion to .NET Framework 4.5
This version requires at least .NET Framework 4.5. Read more on the website.
Other fixes and improvements
•The employee overview's Last placement before/after selection has been fixed.
•A refresh issue in employee export has been fixed.
•Excel employee import did not always determine gender correctly. This has been fixed.
•Selecting a period through the calendar, for example in planlists, often included an extra day. This has been fixed.
•A refreshed licence now becomes active after the first restart rather than the second.
•Editing an evaluation after changing its type has been fixed.
•Improved Outlook 2016 support for creating emails.
•Scheduled employees could sometimes incorrectly become Passive. This has been fixed.
•About Regelneef has a clearer layout and displays different details for cloud connections.
•Pasting an Outlook email or attachment could fail on some systems. This has been fixed.
•An incorrect mileage warning when recording car use within the same day has been fixed.
•Importing large employee sets with certificates is much faster.

Digital signing
Regelneef now integrates sending documents for signature and receiving them back within the program.
Like SMS, this is an optional module connecting to www.signrequest.com. See www.sunbase.nl/prijs for pricing information.
How it works
To have a digital document signed without printing it, create a new signature request containing:
•The file;
•The recipient's email address, name and signing action: signature or approval only;
•The sender's email address, name and signing action: none, signature or approval only;
•An optional message for the signer.
Sending the request converts the document to PDF if needed and emails each signer. Track requests in Regelneef through an overview showing their details and current status.
The email link opens a website displaying the document and allowing the recipient to sign. This works on different devices, including mobile phones.
Once everyone has signed, the request status becomes Signed. The signed document and signing report are available to download. Regelneef offers convenient ways to store them, for example in the file archive.
The signed document and report are also emailed to the people involved.
Personalisation
Emails and the signing process use your company logo and a matching colour. After signing, users are redirected to your website, making your company recognisable throughout.
SunBase configures this with you when activating the module.
Contact SignRequest
Regelneef uses SignRequest for digital signing. Find more information at www.signrequest.com/nl/faq/.
For specific questions, contact them at www.signrequest.com/nl/contact/.
New Regelneef design, website and social media
The program icon, Regelneef logo and most internal icons have been renewed to match the recently launched website. Toolbar and menu icons are also slightly larger.
You can follow Regelneef news and tips through the website, newsletter, Facebook or Twitter. Social media buttons have been added to the status bar.
Two new themes:
•Foggy
•Metropolis
Financial documents
This new module creates financial documents from completed weeksheets, such as invoices itemising worked hours and wage components. VAT uses the placement percentages, and totals are divided into G-account and unrestricted portions.
You can group by client or use no grouping. For invoices, select Only billable hours and wage components to omit rows without a rate amount.
The module also provides quick totals for turnover, wage costs and their difference over a period, optionally grouped by client.
An example invoice layout is available at <Regelneef program folder>\reports\layout Factuurvoorbeeld.doc.
Financial documents are available through:
- Employee planlist → Weeksheets area → Documents
- Weeksheet overview → Documents
Employee import
Import as registration
When importing an employee, select As registration to ignore BSN, ID scans, passport photos and similar data. This supports the current legal requirement not to store such data until the applicant actually starts work.
For import files from a Securitech ID scanner, Regelneef still imports the verification report.
Improved matching of new and existing employees
If an import does not match an existing BSN or employee number, Regelneef now checks surname and date of birth. If a match is found, the user must confirm whether it is the same person.
Clearer import issues
Problems are now listed separately with more information, making them easier to identify.
Open an existing employee
For rows with Update status, you can now open the existing employee.
Selection tables
Import row details now provide selection tables for Country, Country of birth, Nationality and Subcontractor. You can also add or edit values in these tables directly.
New import fields
Level and Warning are now supported.
Other changes
Clients: G-account percentage
This field determines how invoice totals in financial documents are split between the G-account and unrestricted portion.
Document layouts: email integration
•The email address drop-down in the layout window now also shows the person's name, making the recipient easier to identify.
•The list is wider to accommodate the extra information.
•The person's name is also passed to the window for New a signature request. Recipient email and name are filled in, along with the SMS verification number if needed.
Weeksheet export
Freepack weeksheet export handles multiple rows with the same wage percentage more accurately.
Social media fields
•Employee, General 2 tab: LinkedIn and Facebook
•Client: LinkedIn, Facebook and Twitter
•Client contact person: LinkedIn and Facebook
Accommodation planning
•Columns available in the lower accommodation planboard and its Excel lists have been expanded to match the accommodation planlist, and will remain aligned.
•The Accommodation button now works even if no one is placed there on the displayed day.
•Occupants in the accommodation overview now works correctly when several accommodations share a name.
Timesheets: weeksheet hour totals
Timesheets already show each employee's normal weeksheet hours from Monday to Sunday. New merge fields now also support:
•Total hours per employee
•Total hours for all employees per weekday
•Total hours for the week
Client import supports remarks
Client import now supports longer remarks. When updating an existing client, imported remarks are appended to existing remarks. Use Excel import to import them.
More detailed car use permissions
User levels can now separately control editing drivers and passengers, allowing a user to edit passengers without editing drivers.
Other changes
•Weeksheet Remarks now has a merge field in weeksheet documents.
•Hired-in staff man-day statement detail rows now include subcontractor Chamber of Commerce and VAT number merge fields.
•Accommodation planlist: employee date of birth and phone number columns.
•Employee planlist: Properties and subcontractor Chamber of Commerce number columns.
•The screen and Excel list system has been rewritten internally in preparation for cloud support this year.
•New employees once again default to Male.
•Excel list in the employee planlist and employee overview again respects screen column filters.
•Assign affiliate permissions in the affiliates table works again.
•The employee planboard's Request start date column now handles empty values correctly.
•Email in the client overview works correctly for more than 1,000 clients.
•The client overview's Account manager column works again.
•Employee NBBU phase date merge fields are available again.
•Employee passport photo display and refresh have been improved.
•Employee planlist: weeksheet documents correctly handle placements without a weeksheet.
•Employee planboard: the placement tooltip shown over the placement start date now includes day planning.
•A client's Requests tab now also shows future requests.
•User levels can now separately control whether a user may add or delete client contacts.
